Searching for Products

The settings in ODB allow you to choose whether to show Simple products as children and configurable products simultaneously or just one at a time on the create quote/order page.

For example

  • A Mug (Parent)

    • Red Mug (Child)

    • Blue Mug (Child)

    • Yellow Mug (Child)

Searching for “Red Mug”

Simple and Configurable

Two products

  • A Mug (Parent)

    • Red Mug (Child)

Good for very small catalogues

Simple (as children)

One product

  • Red Mug (Child)

Good for catalogs with few parent products but many children

Configurable

One configurable product with 3 children

  • A Mug (Parent)

    • Red Mug (Child)

    • Blue Mug (Child)

    • Yellow Mug (Child)

This is recommended as provides best interface and upsell opportunities.

View product on the front end

On the search results window you will notice a “View” button on each product. Clicking this opens the product on the frontend in a new window. This allows sales staff to see all the details a customer would have and easily answer questions .

Simple

To add a simple product, on the create quote/order you simply select it from the order grid and click add.

Configurable / Bundle Products

To add a configurable product, select it on the order grid and select the configurations you require.

You can add multiple products of each configuration, in the below example once you add what you need to from the red color option (in this case one of each), you can click the blue colour option, add quantities to their and once you have finished, click add to quote, and products from red and blue will be added.

Custom Products

You can use the ODB dashboard custom product function to create a new product on the fly while making an order.

Simply select the create custom product button.

You can make these products temporary or permanent and you can add custom charges and services.

This can be useful for situations when a product is not in your standard catalogue. If you choose to make a product temporary, the product will not appear in search or category pages, and will be cleared from the catalogue .

The amount of the time before a product is cleared from the catalogue can be changed within the ODB settings.

You set the attributes for:

  • name

  • sku,

  • price

  • quantity

  • attribute set

  • visibility

  • category

  • Whether it is permanent

ODB is smart but it can’t manage every scenario, please ensure that you add enough quantity for your needs, remember that quotes can lock stock when opened. So its possible that reopening quotes quickly in a short period of time or in different tabs can cause a 1 stock custom product to not be added to the basket. Recommended to add at least 5 quantity, more if you’re making this a permeant product.

Product Comments

As well as being able to add a comment to an order Admins can add a comment per product that displays on the product grid in:

  • Transactional quote and order emails

  • Customer Account pages

  • PDFS

  • The admin order grids

To add a comment, select add comment from the action column on the product grid.

This will open a form for you to add your comment, clock the save button to add it and the close button to dismiss it.

Removing a product from a Quote or Order

To remove a product from the order grid, select remove items from the action column . This will present you with a tick , or a cross, select the tick to continue.

Changing Pricing, discount and quantity

When a product is added to the product order grid, you are presented with the cost price, price ,discount, qty, subtotal , margin and action columns.

The cost price, and price attribute start as the system value. the discount starts at 0%. and the quantity starts at one. The margin is the profit made on the product.

Pre set discounts on products are pulled through in ODB, and you cannot give less discount than the preset discount (e.g if your discount preset is 20% you cannot change it to 10%, but you can change it to 30%) . This is to ensure standards and pricing set in your catalogue are adhered to. To be able to overwrite discounts to lower than the preset would require a customisation.

Edit the cost price

Select the Pencil by the cost price field, you can then change the cost price.

Changing the price

You can change the price that you will charge ( the original price will still show below the box, this is just the price you will charge for the item this time).

Changing this price will update the discount , subtotal, and margin fields to the correct value for the new price.

Change the discount

You can change the discount percentage by typing in the discount field. this will update the price subtotal, and margin to the correct value for the new discount.

Change the quantity

You can change the quantity by changing the number in the qty field, this will update the subtotal.

Subtotal

Below the grid, the subtotal of the subtotals and the margin is displayed.
